NavVis Onboarding Checklist

Welcome and congratulations on your NavVis purchase!

Follow this step by step guide to set up your Account, Licenses and Hardware.

Important: Your Customer Success Manager (CSM) has sent you a Welcome Mail with the email addresses that have been assigned admin rights. You still will need to register as a new user with those e-mail addresses. Keep this email handy - you will need it for the following steps.

Phase 1: Account and Licensing

1. Register in the NavVis Portal

Why this matters

Register as a new user at the NavVis Portal using the email address listed in your welcome mail.

If you register and cannot see some of the admin Items please reach out to your Customer Success Manager.

Your Portal account gives you full control over licenses, user management, and training resources - it's your central hub for everything NavVis.

Important: The NavVis Portal and your NavVis IVION Instance are two separate systems with separate logins. You will activate your NavVis IVION Instance in a later step.

2. Activate your license(s)

Why this matters

Log in to the NavVis Portal, navigate to Pending Hardware Orders, and follow the License Activation Guide to activate your hardware, NavVis IVION Core, and processing licenses.

You need to activate your digital licenses in order to setup your NavVis IVION Instance and to update your device software. Your licenses will start running from the date you activate them.

3. Set up your NavVis IVION instance

Once your licenses are active, set up your organization's NavVis IVION Instance by following the Setting Up your NavVis Cloud Instance guide.

Make sure you select a URL that you want to keep for the long term - we recommend using your company name.

The Instance is where your process your data and all of your projects live.

Your URL is permanent, so take a moment to choose something that represents your organization well.

Important: After setup, you will receive a confirmation email with your admin login.

Your NavVis Portal login does not work for the Instance.

Phase 2: Learning and Resources

4. Enroll in the NavVis Academy

By signing up in the NavVis Portal earlier, you can now enter the NavVis Academy.

Use this guide for signing up.

The Academy offers structured training for both operators and admins. Knowing which modules apply to you helps your team build confidence quickly and get the most out of your NavVis solution.

Your Academy Training progression:

  1. Device Training: Complete the Modules - Intro to Mobile Mapping, NavVis VLX/MLX onboarding, Practice on Loop Closures and Control points.

  2. Conduct your first test project: Gather some data in a test environment e.g. your office space, private property etc. and apply what you have learned in the Academy.

  3. Set up your first NavVis IVION project: Complete the Module “NavVis IVION Instance Admin”. This guide will teach you everything you need to know about processing and setting up your first project. We recommend to simultaneously set up the test project and go through the module on the side step by step.

5. Explore the NavVis Knowledge Base

Bookmark the NavVis Knowledge Base and explore its contents.

You can find information in three ways: browse the category structure, use Ivy the AI assistant for natural language questions, or use the 0-click standard search bar. Whether you need a quick answer or detailed technical documentation, the Knowledge Base is your go-to resource.

Phase 3: Hardware Setup

6. Check your shipment contents

Why this matters

Verify your delivery is complete before powering anything on. Check the NavVis VLX Hardware Checklist or NavVis MLX Hardware Checklist, and confirm any additional items you ordered (e.g. extra batteries, backpack) are included.

It is important to check your shipment as soon as it arrives. If anything is missing or damaged, please contact your Customer Success Manager straight away.

7. Update your device software

Connect your device to Wi-Fi following this guide.

Once your license is active (Step 2), update the system software according to this article.

Running the latest software ensures you have the most recent features, bug fixes, and security updates before your first scan.

Phase 4: Stay Informed

8. Subscribe to NavVis notifications

What to do

Why this matters

Sign up for NavVis Release Notes (software updates and new features), the NavVis Incident Newsletter (service outages and status updates), and optionally the NavVis User Panel (early access to new features and direct input to the product team).

These subscriptions keep your team in the loop on the latest improvements and give you a direct line to the NavVis product team.
