There are three admin roles:
Instance Admin
An instance admin has the same rights as a global admin, but can additionally access the NavVis Cloud instance management dashboard where they can create, activate, and remove instances. The instance admin can be the same as the global admin or the instance admin can assign another global admin. If you are using Enterprise or an on-premise installation, this role is not applicable.
Global Admin
A global admin is the manager of an instance and has access to all Sites and site content. A global admin can add, delete and edit users, and can assign site and global admins.
Site Admin
A site admin has full access to their sites' content and can manage user permissions for the specific sites they are assigned to. A user can be a site admin of multiple sites.

What is the difference between an Instance and a Site?
Instance: An instance is an individual copy of the NavVis IVION software running on the NavVis IVION Cloud server, which you can open through a dedicated URL. In one instance, you can have multiple sites.
Site: A site is a grouping of Datasets and users. Datasets are added to an individual site, and each site has specific user permissions and a unique URL. The processing and set up workflows take place at the site level. Datasets cannot be directly reassigned between sites. To transfer datasets, download a bundle from the source site and upload it to the target site via Dataset Management."
Best Practices for Assigning Admin Roles
There is no hard limit on the number of users who can hold an admin role in NavVis IVION. However, keeping admin numbers proportional to actual management needs is recommended for both security and licensing reasons.
Limit Global Admins to trusted users — Global Admins have full instance-level control, including managing users, settings, and subscriptions. Assigning this role broadly increases security risk.
Site Admins can be assigned more widely — since their permissions are scoped to specific sites, the risk is lower.
Admin group participants utilize license seats — individuals assigned to any group, including admin groups, contribute to your licensed user cap. Guest users in the "Everyone" group are excluded.
