Introduction

This user guide provides an introduction and guidance on how to maintain and adjust your NavVis subscription licenses at subscriptions.navvis.com, the Subscription Management system at NavVis.

Pre-requisites

You need to have your account enabled for Subscription Management and you need the corresponding user rights in your account administrator. If you are facing any issues with this, contact subscriptionmanagement@navvis.com.

Accessing Subscription Management

Go to support.navvis.com, login with your user account and navigate to My Products > Subscription Management:

You will be forwarded to keylight | App - please make sure to go through support.navvis.com at least the first time, this will guarantee that your account will be set up correctly.

If you are having issues accessing Subscription Management, please do not hesitate to send a mail to subscriptionmanagement@navvis.com or to contact your Customer Success Manager.

General Navigation

Once you enter Subscription Management, you will see the list of your current subscriptions in the center of the page.

On the top, you’ll see the navigation menu that will bring you to the different sections of the page.

Main functionalities

Upgrading your NavVis IVION Instance or NavVis IVION Processing

  1. Select the subscription that you want to adjust and go to Settings ⚙️ > Change Product.

  2. Select the new product that you want to upgrade to and click Continue.

  3. Review your changes:

    • Product Change and Effective Date shows you a summary of the change and when it will take effect.

    • Today’s Charges (net) shows you what will be invoiced now.

    • Recurring Charges (net amount) shows you what you will be charged for renewing.

  4. Click the check box to:

    • Accept the General Terms and Conditions of the Delivery, End User License Agreement and Subscription Terms.

    • Agree on behalf of the purchasing entity.

  5. Click Confirm to process the changes you want to make.

If you are upgrading an instance, you still need to initiate the Upgrade through NavVis Cloud (this will cause a downtime of approximately 3 minutes and should be done when the instance is not in use).

Once your order has been processed you will receive a confirmation email like this:

Alternatively, you can wait a couple of minutes and then go to NavVis Cloud.

If you are upgrading NavVis IVION Processing, you should see the units within your instance in approximately 5 minutes. If this is not the case, please contact subscriptionmanagement@navvis.com.

Buying an add-on for NavVis IVION Processing

  1. Select the Processing subscription and go to Settings ⚙️ > Change Product

  2. Select the add-on that you want to buy and click Continue.

  3. Review your changes:

    • Product Change and Quantity shows you a summary of the change.

    • Today’s Charges (net) shows you what will be invoiced now.

    • Recurring Charges (net amount) shows you what you will be charged for renewing.

  4. Click the check boxes to:

    • Accept the General Terms and Conditions of the Delivery, End User License Agreement and Subscription Terms.

    • Agree on behalf of the purchasing entity.

  5. Click Confirm to process the changes you want to make.

  6. Once you confirm the details, your order will be processed. You will see your additional processing units in your balance in the next 5 minutes.

Early Renewal of IVION Processing

Note: Early Renewals allow you to start a new 12 month contract when you used up all of your processing allowance before the end of your current contract term. This ensures that you have the full 12 months to use your processing allowance. Whenever you confirm the Early Renewal, the Old Contract will be terminated immediately and  before the end of its usual term. Any residual storage or unit allowance from the Old Contract will not be transferred to the New Contract.

It is important to follow the steps described below to ensure we can process this correctly.

EARLY RENEWALS ARE ONLY AVAILABLE FOR IVION PROCESSING - THEY ARE NOT APPLICABLE TO IVION CORE.

  1. Go to New Order on the top right to start the order process for a new IVION Processing Contract.

  2. Select the new IVION Processing package that you want to book.

  3. Review the contractual changes and agree to the Early Renewal clause that is added in those cases. Once you confirm all of the terms, you can place the order by clicking Confirm. By clicking Confirm, the Early Renewal will be applied immediately - so any residual storage or unit allowance for the Old Contract will not be transferred to the New Contract.

  4. After approximately 5 minutes, you should be seeing the new Processing units in your instance.

Enabling the automatic renewal of the license

Depending on your initial contract, you might already have a contract that renews automatically.

If this is not the case, you can quickly adjust that for each of your contracts.

  1. Select the subscription that you want to adjust and go to Settings ⚙️ > Activate Auto-Renewal

  2. Review your changes:

    • Recurring Charges (net amount) shows you what you will be charged for renewing.

  3. Click the check box to:

    • Accept the General Terms and Conditions of the Delivery, End User License Agreement and Subscription Terms.

    • Agree on behalf of the purchasing entity.

  4. Click Confirm to process the changes you want to make. This will ensure that once you reach the end of your current term, the system will automatically place an order for another term.

Checking the current renewal status of a contract

If you want to find out if your contract will automatically renew itself, view the Subscription Status of your subscription:

Cancelling your Subscription/deactivating your auto-renewal

If you want to cancel your subscription, you can do so by deactivating your auto-renewal. This means that the contract will run out at the end of the current period and will not be extended. In order to do this, you need to follow these steps:

  1. Select the subscription that you want to cancel and go to ⚙️ > Cancel Subscription

  1. Review your changes:

  • This will deactivate the auto-renewal - this means that your contract will come to an end at the end of the term, as stated on the Subscription Overview.

  • No renewal will happen after that - the contract will be cancelled with the end of the term.

  • The recurring charges are shown in case you want to re-activate the auto-renewal - they will NOT be charged when the subscription is cancelled.

  1. Click the check box to:

  • Accept the General Terms and Conditions of the Delivery, End User License Agreement and Subscription Terms.

  • Agree on behalf of the purchasing entity.

  1. Click Confirm to process the changes you want to make.

  1. On the Subscription Overview, you will see that the subscription status changed to Expires at the end of term. This confirms that your cancellation was successful.
